1. Who we are and when this policy applies

PencodIT Consulting Services (“PencodIT”, “we”, “our”, or “us”) provides IT consulting, website and application development, UI/UX, cloud, digital marketing, maintenance, and related technology services. This policy applies when you visit pencodit.com, use our package enquiry pages, submit a contact form, or otherwise communicate with us about our services.

2. Information we collect

We collect information you choose to provide, including your name, email address, mobile or WhatsApp number, company or project details, selected package, enquiry message, and any files or content you send to us.

When you use our website, our hosting and security systems may automatically record limited technical information such as IP address, browser and device type, requested pages, referring page, timestamps, and diagnostic or security logs. We may also use essential cookies or similar technologies required for sessions, form security, preferences, and basic site operation.

Please do not submit passwords, payment-card details, government identifiers, health information, or other sensitive personal data through a general enquiry form.

3. How we use information

  • Respond to enquiries and communicate about requested services.
  • Prepare proposals, estimates, project plans, contracts, invoices, and support responses.
  • Deliver, maintain, secure, and improve websites, applications, campaigns, and other contracted work.
  • Prevent spam, fraud, abuse, unauthorised access, and other security incidents.
  • Maintain business, tax, accounting, project, and legal records.
  • Send service-related updates and, where permitted, relevant business communications. You may ask us to stop non-essential marketing messages.

Depending on the circumstances, we process information with your consent, to take steps at your request or perform a contract, for legitimate business and security purposes, or to comply with law.

4. How information may be shared

We do not sell your personal information. We may share only what is reasonably necessary with trusted hosting, email, communications, analytics, security, accounting, payment, or project-delivery providers acting for us. Information may also be shared with professional advisers, project partners approved for the work, or authorities when required by law or reasonably necessary to protect rights, safety, and service integrity.

If your project uses third-party services such as WhatsApp, payment gateways, cloud platforms, social networks, advertising platforms, or app stores, your use of those services is also governed by their own privacy terms.

5. International processing

Some technology providers or project resources may process information outside your state or country. Where applicable, we take reasonable steps to use contractual, technical, and organisational safeguards appropriate to the information and service involved.

6. Retention and security

We retain information only for as long as reasonably needed for enquiries, projects, support, legal obligations, dispute resolution, security, and legitimate business records. Retention periods vary by record type and contractual or legal requirements.

We use reasonable administrative, technical, and organisational measures intended to protect information. No website, transmission, or storage system can be guaranteed completely secure, so you should use care when sending information online.

7. Your choices and rights

Subject to applicable law and reasonable identity verification, you may ask to access, correct, update, or delete personal information we hold about you; object to or restrict certain uses; withdraw consent where processing relies on consent; or request information about how an enquiry has been handled. Some records may need to be retained for legal, security, accounting, or contractual reasons.

8. Children

Our business services are not directed to children under 18, and we do not knowingly seek personal information from children. A parent or guardian who believes a child has provided information should contact us so we can review and take appropriate action.

9. External links

Our website may link to third-party websites and services. PencodIT does not control their content or privacy practices. Review the privacy information of a third party before providing information to it.
